Fixed assets and the investment-project capitalisation path

Introduction

Maconomy fixed assets manage the lifecycle of capitalised property: acquisition, depreciation, adjustment, transfer, and disposal. The asset register maintains field-level audit history — who changed what, when, and from what value to what value — through the legal life of the asset.

Asset Groups and the Fixed-Asset Master

asset number (generated by number sequence or manually assigned); asset group (controls defaults for service life, depreciation, posting, and number sequence); name and description; type (tangible or intangible); serial number, bar code, and physical identifiers; location and responsible worker;

Books and Depreciation Profiles

A Book (AssetBook) is D365's mechanism for parallel depreciation. Each book attached to an asset independently tracks:

Asset Transactions and Lifecycle

Acquisition journal — manual journal entry posting directly to the asset; Purchase order — PO linked to a fixed-asset group; asset created on invoice posting; Free-text invoice — vendor invoice with asset reference; Capitalisation proposal — from an investment project (see below).

The Asset-Under-Construction Pattern

When a capital asset is being built or developed over time — for example, a new office fit-out, a software platform, or a piece of custom equipment — costs accumulate before the asset is ready for use. Maconomy handles this through job cost; D365 handles it through an investment project.

Posting Profiles and Ledger Integration

Fixed-asset posting profiles control which general-ledger accounts receive debits and credits for each transaction type. In Maconomy, asset postings are governed by account rules on the asset or asset category. In D365, posting profiles are configured by asset group and book.

Depreciation Calendars and Run Frequency

The depreciation proposal generates entries for all assets in a book that are due for depreciation in the selected period. The proposal can be run manually or scheduled as a recurring batch job.
